Waiver Requirement Sender One requires completed facility waivers for ANYONE and EVERYONE entering the facility, regardless of whether they are climbing or not. This includes but is not limited to any climbers, parents, grandparents, and children. To expedite the check in process, we encourage you to have all your event guests complete Sender One’s facility waiver prior to arrival. During the check-in process, we will confirm that each guest present has a completed waiver on file. Your booking confirmation will have a link to the facility waiver and a link to manage your guest list. You will be able to see which of your guests have submitted waivers. As the primary host, you are responsible for communicating all information laid out in this document to all other hosts and guests. I Agree
General Event Policies - I understand the participant MINIMUMS and MAXIMUMS for the event that I have booked
- I understand how my event will be structured. My guests and I will adhere to the reserved time slot for my event; my event begins and ends within the time frame reserved.
- My guests -- participants as well as spectators -- and I must follow staff instructions and respect all other patrons using the facility. Sender One enforces a “Code of Conduct” that covers appropriate attire, use of language, and injury prevention. Sender One will remove any disorderly guests from the premises and will not issue a refund for those guests. The well-being of all Sender One patrons is our greatest priority.

Sender City Party Policies - I understand that my party will be adhering to the following structure:
- First 30 minutes: Check-in, gearing up, and Sender City orientation (Party Room will not be available at arrival.)
- Next hour - Climbing in Sender City (Party Attendant will be setting up your Party Room during this time.)
- Last hour - Access to the Party Room/Loft
- I understand that parents are encouraged to stay to assist with clipping kids in.
- I must book for the maximum number of climbers in order to have a private party. I understand that if I do not book for the maximum climbers, the remaining spaces will be open for General Admission
- If I book a party with more than the gym’s specified max climbers, I MUST book an additional hour of climbing (pending availability) at a cost of $1000. If needed, I must book this at least 2 weeks before my event date.
- Sender One requires all participants to wear closed-toe, non-marking shoes while climbing in Sender City. We do not allow chalk in Sender City.
I Agree Party Room Policies - The host and guests will not have access to the climbing area or party space before the designated time slot.
- I understand that helium-filled balloons, piñatas, glitter, confetti, silly string, noise makers, and alcohol are never permitted anywhere inside a Sender One facility.
- I understand that all decorations not supplied by Sender One must be pre-assembled.I understand that Sender One Party Attendants will not assemble or construct party decorations not supplied by Sender One. I will not request any Sender One staff to assist me in building non-Sender One decorations. I acknowledge that there is limited time for decorating the party space.
- I understand that only TOWN and CITY packages include tablecloths, paper goods for climbers. I can add tablecloths and paper goods to a VILLAGE package for $100.
- Pizza and beverages are only complimentary for Town and City Packages. One extra-large pizza will be included for every 5 climbers confirmed.
- I understand that burners or other food warming devices are not allowed.

Vendor Policies - I understand that I must receive prior approval from Sender One for all outside vendors I wish to use for my event at Sender One. All vendors must complete a facility waiver prior to entering the facility. Please email the Groups & Parties department at your requested gym to discuss your potential vendor and any restrictions that may apply.
- Additionally, using a third-party food vendor may require me to pay a $100 fee. I will notify the Sender One events department to learn more about rules and restrictions that may apply before using a non-Sender One food vendor.
- I understand that any food items brought into Sender One for consumption must be "ready to serve", and cannot be heated or prepared in the facility. Sender One will not provide nor allow any food preparation services or equipment on premise.
- I understand that food trucks are strictly not permitted for a party.

Clothing and Footwear Policies - High-heels must not be worn by any persons in the climbing area. I understand that I am financially responsible for the cost to repair any damage caused by heels puncturing the padded flooring during my event--whether by myself or any of my guests.
- Dresses, skirts, shorts, or pants with excessive pockets may hinder the fitting of harnesses. Climbers should have their hair tied low (e.g., at the nape) so their helmets fit properly. Bows, headbands, or other hair accessories may hinder the fitting of helmets. I understand Sender One will not allow anyone to climb who is unable to wear a properly fitted helmet and harness.

Payment and Refund Policies - Sender One will confirm the details of my event within 2 weeks of the event date. For any parties taking place Saturday through Monday, I must finalize all event details--including climber count and food order--with Sender One staff one hour before the Groups & Parties phone line closes on the Thursday before my event.

- I understand that I am responsible to pay for the confirmed number of climbers. I will pay an excess climber fee for every climber that puts me above my confirmed number.

- I understand that the deposit placed at the time of reservation to hold the party time-slot is NON-REFUNDABLE. Cancellations must be made greater than 2 weeks before the party date to be eligible for rescheduling or in-store credit which can be used towards any Sender One LLC offering. For cancellations made within 2 weeks from the party date, NO REFUNDS and NO CREDIT will be granted.

- I will pay any remaining, outstanding balance owed for my event before the end of my event. For payment, I agree to use cash, debit card, or major credit card (Visa, MasterCard, Discover, and American Express only). Sender One does not accept personal checks, business checks, or money orders.

- I understand that a SERVICE CHARGE, calculated as a percentage of the total cost for my event, will be automatically added to my final bill; and I agree to pay this service charge. A portion of the service charge will go to the staff as a non-tip wage. The remaining portions will be allocated to fees and taxes associated with the party. I am free to add an additional tip or gratuity as I see fit.

This is not an exhaustive list of all the applicable terms and conditions of having my event at Sender One. You can find a comprehensive list of the additional terms and conditions in your Booking Confirmation. For any event exceptions that go beyond the stipulations of this document, I must receive written approval from a Groups & Parties Manager. By signing below, I confirm that I have read all of the above information and the information in my Booking Confirmation regarding the rules and policies associated with hosting an event at Sender One and I FULLY agree to all the terms, policies, and conditions indicated. I understand that failure to adhere to the rules of the facility, such as the Code of Conduct, will result in the cancellation of my party and the forfeiture of my event deposit. April 25, 2024 |
